BOARD MEETING MINUTES – September 21, 2022

Stillwater Amateur Radio Association

This was a Zoom online meeting.

Roll Call of Officers – Present:  Joe KCØOIO, Zack AAØU, Shel NØDRX, Dave N9JNQ, Rich ADØSN (joined at 7:05 PM).  Absent:  Brad VE3MXJ, Bob WØGAF.

President: Joe KCØOIO

As a quorum of four officers was present, the meeting was called to order at 6:43 pm.

Secretary’s Report – Dave N9JNQ

The September 2022 Membership and August Board Meeting minutes can be found posted to the club website.

Treasurer’s report reported at the September 2022 Membership Meeting:

Joe KCØOIO reports that there was income to the Club account of $630.00 from the sale of equipment donated to the club by Dick WØDIK (thanks much Dick!).  Three of the five items donated have been sold.  There was also $60.00 taken in as a result of three membership renewals and $18.50 taken in from the September Membership meeting 50/50 raffle.  Shel NØDRX reports that he has the deposit slip representing the $716.50 deposited into the Club account for since the September Membership meeting.

Trustee’s Report – Shel NØDRX

Shel NØDRX reports that he has been busy filing reports.  He filed: the annual repeater report on September 9, 2022; the State of Minnesota art. 317A nonprofit report on September, 15, 2022 (due end of December); and the ARRL annual affiliation report, updated on September 19, 2022 (filed after the first of the year, and updated after the fall meetings begin to provide more accurate membership numbers).   The ARRL special services club report not due until the end of the year.

Shel reported that he got control of the WØF website on QRZ yesterday, to be used for the Remembering the Edmund Fitzgerald Special Event, and updated the information on the site for the event.

Joe KCØOIO reported that there will be a planned outage on the website this coming weekend by Midphase for scheduled maintenance.

Activities & Events:  Dave WØOXB & Bob WØGAF

Joe KCØOIO notes that Remembering the Edmund Fitzgerald Special Event will take place November 4-6, 2022.  Bob WØGAF Dave WØOXB, Shel NØDRX, and Joe KCØOIO (the “Planning and Tactical Team”) have had a strategy meeting a few weeks back.  The club call WØJH will be used at the site; the special event call sign WØF will be effective October 30 though November 13, 2022, and available to be used used by off-site stations running CW and digital modes.  The WØF call will be available for use on the actual date of the Fitzgerald sinking, November 10.  Sign-up for use of the WØF call will be available on SignUpGenius in the near future.  Joe reports that dinner reservations have been secured for both Friday and Saturday evenings, as well as for Saturday breakfast.  The restaurants hours have changed, not opening until 9:00 AM, so breakfast will be later.  We will need to be at the restaurant by 5:00 PM as the restaurant plans to close by 7:00 PM.  The corner suite has been secured as the hospitality suite; Brian NØBJE and Scott W2SAD will be sharing the suite.

M.A.P and NHRG:  Dave WØOXB & Brian NØBJE

M.A.P. – Nothing to report; Dave WØOXB is out of town.

NHRG -Joe KCØOIO reports that there has been some recent equipment donations from KBØJER, which was picked up last Wednesday by Dave WØOXB and distributed on Thursday.  The income will be going back to the family.  The equipment sold included an Astron 35 amp power supply and n Icom IC-718.  There is also some antennas and a 20 amp power supply that Joe reported will be incorporated into the club power system.

Meetings & Programs – Joe KCØOIO

Monthly Meeting at Boutwells -Joe KCØOIO noted that he was still looking for a volunteer to plan and secure the monthly membership meeting programs.  Dave N9JNQ suggested that perhaps we would have more luck getting volunteers if we had a program planning committee rather than placing the responsibility with one person.  Dave volunteered to be a committee members, as did Zack AAØU.  Joe said he would make that change in the next SARA weekly broadcast.

Tech Topic Thursday – Nothing has been planned as yet as we have just moved back indoors at the Stillwater Public Library.

Thursday Eyeball QSO Party – SARA’s “Summer in the Parks” outdoor sessions, which wound up last week, were a success, and the weather generally cooperated.   Both the POTA activations and the cookouts were well received.  The Eyeballs now move back indoors at the Stillwater Public Library.

Board Meetings – The next Board meeting will take place on the third Thursday of October, October 19, 2022.

Room Reservations – Dan KFØIYF

Dan KEØIYF has secured the Stillwater Library meeting room for future eyeballs beginning September 22, 2022, through November 2022, and has been securing room reservations for the General License classes.  Two of the General classes will take place at the Lake Elmo Public Library; the remaining at the Stillwater Public Library.

Education and Training – Bob WØGAF

Joe KCØOIO reports that the General License class is underway with four to five participants.

VE Team – Shel NØDRX

Shel NØDRX reports that a VE session will take place November 17, 2022 at Boutwells Landing, although it has not been confirmed as yet as he was waiting to see what the interest was in the General class.

Newsletter – Pat WAØTDA, Dave WØOXB

We are updating some of the boilerplate announcements in the Newsletter.

Repeater – Henry KØHAS, Shel NØDRX, Doug N9TOW

Nothing to report on the repeater.

Unfinished Business

SARA Club Equipment Inventory – The trailer has been inspected and prepared for the Edmund Fitzgerald special event and it was found that mice had once again found their way into the trailer.  Appropriate action was taken.  We need to obtain some gas for the generator for the special event.

Meeting programs for the rest of 2022– The next program for the October 8, 2022, Membership meeting will be Learning the Code – Tips and Techniques for Learning CW, presented by Greg KØGW and Bob WØGAF.

New Business

Budget for POTA Challenge prize swag bag – Joe KCØOIO reported that Brian KB9TBB provided some analysis that demonstrates that activity has increased by members following the creation of the Legends and Leaders categories in the Challenge.  So the mid-year modification in the contest had its desired effect – increased participation.  Joe noted that we will need a small budge to purchase prizes for the Leaders and Legends categories, including the top three hunters and the top three activators in the Leaders category.  All Legends will get prizes.  Eight to ten prizes will probably be adequate.  The Board reviewed a website of JSE Custom Embroidery and noted that the prices are reasonable for such items as POTA hats and POTA banners.

Joe made a motion that $250.00 be budgeted from the SARA account for POTA Challenge prizes; the motion was seconded by Zack AAØU; the motion passed unanimously (4 ayes, 0 nays).

SARA Club costs for Split Rock weekend – Joe KCØOIO noted that the club has in the past sponsored the cost of a room for a member who would not be able to attend otherwise.  Dave WØOXB will be approaching a possible attendee to gauge interest.  The club also shares the cost of the hospitality suite with those who are staying in it.

Dave N9JNQ made a motion that $250.00 be budgeted from the SARA account dedicated to these expenses; the motion was seconded by Shel NØDRX; the motion passed unanimously (5 ayes, 0 nays).

Authorization to secure Split Rock for the 2023 special event – Shel NØDRX asked for Board authorization to make reservations with the Minnesota DNR for the Split Rock shelter for the 2023 Edmund Fitzgerald special event.

Joe KCØOIO made a motion directing Shel to secure reservations for the 2023 special event as soon as possible; Zack AAØU seconded the motion; the motion passed unanimously (5 ayes, 0 nays).

Zack AAØU made a motion to adjourn the meeting; the motion was seconded by Dave N9JNQ ; the motion passed unanimously (5 ayes, 0 nays).  The meeting was adjourned at 7:23 PM.
